Office Manager

Due to an internal promotion we have a fantastic opportunity for a Administrator/Office Manager to join this thriving Executive Recruitment business based at Waterloo. Working closely with the Operations Director you will assist with the day to day running of all aspects of the businesses operations. No two days will be the same so the ability to think on your feet and use your judgement is key.

Hours. Monday–Thursday 9am-6pm, Friday 9-5pm. 3 days in the office 2 days from home. Benefits; Competitive salary, quarterly bonus, health insurance, pension, 25 days holiday, birthday day, social events.

Job Responsibilities

Duties will include;

• EA Support for MD – supporting MD with admin duties in both personal and professional areas • Office Management – day to day running of the office to include all stationery and supplies, managing contract and liaising with the building managers • Accounts - cross checking and sending invoices, managing divisional splits, credit card / direct debit management, chasing outstanding/missing invoices, staff expenses • Management of new starters – onboarding, basic training with systems and software, regular check ins • Management of placements – auditing of Bullhorn, management of spreadsheets, following up outstanding paperwork, liaising with consultants and accounts for invoicing • Temporary Staff – understanding payroll process, assisting with high level enquiries, staying up to date with changing regulations • Management of suppliers – championing software/services to the team, IT system management including smooth running of IT systems within the group, setting up regular meetings, developing relationship to ensure best deals, arranging ongoing training for consultants, researching alternative solutions and additional solutions, fixing, sorting and escalating issues • Reporting – creating, collating and providing regular reports to the directors (daily activity, bullhorn usage, forecasting and pending reports) • New business ventures – working with Group Operations Director on new business ventures, supporting consultants with growth • General support – supporting billing consultants with all elements of work, running monthly competition to increase productivity within the group • Basic HR and Admin duties – probation reminders to director, work anniversaries, birthday, travel for the team • Marketing – assisting with social media campaigns, creating flyers/presentation for new business

Requirements

The Person:

You will have previous administration or office management experience, but most importantly is your attitude and ability to help with all aspects of the business. You must have strong MS Office skills and be happy to help with basic IT issues, enjoy being the lynch pin of the office and have excellent communication skills.
