Team Assistant (Maternity Cover – 9 Months)

The Role An exciting opportunity has arisen for a polished and proactive Team Assistant to support a dynamic, high-performing team. This is a varied and fast-paced position, ideal for someone who thrives in a busy environment and enjoys being at the heart of operations.

You will play a key role in ensuring the smooth running of the team by delivering first-class administrative support, coordinating across departments, and keeping priorities on track.

Responsibilities

Key Responsibilities

Administrative Support You will manage the central inbox and handle inbound calls, acting as a gatekeeper where appropriate. Extensive diary management will be a core part of the role, including scheduling across multiple time zones. You will coordinate national and international travel, preparing detailed itineraries, and support onboarding processes such as IT setup, equipment, and systems access for new starters.

Coordination & Organisation You will prepare high-quality presentations, reports, and documents, ensuring consistency and professionalism. The role involves organising meetings, preparing packs, taking minutes, and tracking follow-up actions to completion. You will monitor deadlines, keep projects on track, and support communication across teams to ensure alignment.

Operations & Compliance Responsibilities include supporting invoice processing and purchase orders, maintaining accurate records and filing systems, and ensuring all data is handled in line with GDPR requirements. You will also coordinate document translations and ensure information is stored in an organised and accessible manner.

Team & Business Support You will provide support across Investment, Asset, and Property Management teams, assisting with overflow work and ad hoc tasks as needed. The role also includes providing holiday cover and stepping in to support wider business needs when required.

Events & Culture You will assist with the organisation of internal and external events, including team lunches, volunteering initiatives, and major industry conferences such as MIPIM, UKREiiF, and EXPO Real, helping to maintain the company’s strong social culture.

Marketing Support You will support the creation and formatting of marketing materials, assist with social media content, maintain CRM systems, and help ensure the company website remains up to date.

Requirements
The Candidate The successful candidate will be highly organised with excellent attention to detail and a proactive, flexible approach. You will be confident managing multiple priorities, communicating effectively across all levels, and working both independently and as part of a team. Previous experience in a similar Team Assistant role within a professional services environment is preferred.
