Temp Executive Assistant required to join a global retailer as they come to their year end to assist in communicating their bi-annual and annual results to major stakeholders and various boards.

A super exciting role which you can really get your teeth stuck into, working within a dynamic and fast paced team

Responsibilities

A full-on role, your remit will be:

Pre-planning stage:

Diarising all internal results preparation meetings across the business functions Diarising all results preparation meetings Diarising post results investor meetings for CEO, CFO & IR Liaising with the Bank Diarising ‘wall cross’ calls with the house analysts to happen the night before results Venue liaison / management Drafting and sending invitation emails to analysts (~2 weeks in advance) Management of full invite list Booking of hotels, travel etc for management and senior team Organisation of badges, sign-in sheet, cloakroom, refreshments, goody bags (sourcing product from businesses and packing bags) Discussion of event and/or conference call requirements Booking into the diary of media calls and fitting these around management’s other diary commitments (presentation, investor phone calls, lunch etc.) Pre-planning of presentation printing for distribution to analysts Arranging pre-results website requirements such as publication of registration link for the event Forewarning /coordination of 7am publication of RNS Any further website updates that will be required at 7am Arrangement of all technical aspects of live event broadcast and recording Night before trading update or results:

Rigorous version control Approving the HTML version for upload to the RNS system Approval of screenshots of web pages to go live at 7am Sending a version of the RNS to the compliance teams of the house brokers so that the analysts have it ahead of the wall cross calls

On the day:

Early arrival at meeting rooms in the venue to confirm no issues Printing research notes as they are being published by the analysts and providing copies to the CEO, CFO, IR & Corp Affairs Early arrival at auditorium venue to check room layout, catering, welcome desk, badges Running front desk sign-in and badges as guests arrive (results only) Ensure correct version of investor presentation is loaded into the system for broadcast Manage the caller queue during the post-presentation Q&A

Follow up:

Upload of investor presentation and broadcast recording to internal website

Requirements

They are looking for an experienced EA with IR / Comms / Year End Results experience and knowledge. 

Immediate start immediately on a temporary basis all the way through until December.

Please note this role will be 5 days office and will involve out of office hours!
